Note: If you have already submitted an abstract, please access your personal area and complete your registration form.

All Registration must be completed on the official website. The deadline for early-bird registration is January, 01st 2025.

Participants are strongly encouraged to register before this date to take advantage of the discounted registration fees.

Important Information for Registration

There are two ways to register for the conference (for both use the registration form link):

  1. Submit First, Register Later:
    • You can first submit a symposium or an abstract (Poster).
    • In your personal area, you will find a link to register for the conference afterward.
  1. Register First, Submit Later:
    • You can register for the conference first.
    • You can then submit a symposium or an abstract (Poster) in your personal area if the submission deadline has not yet passed.

 

Registration Fees Include:

  • Admission to all sessions
  • Conference materials attendance certificate.
  • Tea, coffee, and lunch as mentioned on the congress program – lunch is included in the conference fee. Coffee is served twice a day

 

Registration Fees do not include:

  • Social Dinner

Participants who wish to join must purchase tickets to be admitted to the venue. Those who plan to join the Social Dinner can purchase a ticket during the registration process.

Please note that dinner tickets are limited on a first-come, first-served basis. It will be held on a boat cruise over the Douro River.

  • Dinner: 68,00 €

Dinner includes welcome, main course, dessert, and drinks/coffee (and of course, port wine).

Please note:
For this dinner to take place, there’s a minimum of 120 paying participants.
Once we reach this number, we’ll send an email to each participant to ask for the payment (bank transfer or credit card), so everything is confirmed.
There’s a maximum limit of 250 participants.

 

Registration Terms and Conditions

  • All Registration must be completed on the official website.
  • Participants are strongly encouraged to register before the early bird to take advantage of the discounted registration fees.
  • All registration fees are quoted in Euro (€)
  • Payment in any other currency will not be accepted.

 

Payment will be available by credit card and bank transfer:

Credit cards are accepted and can be made through the online services on a secured server. For security reasons, under no circumstances should credit card details be sent by email.

 

Bank transfer: Bank charges must be paid by the participants in addition to the registration fees.
Please make sure to indicate the Congress name plus the full participant’s name. 

Invoices with an address in the European Union should be provided with a VAT Number. The invoicing address and VAT number can only be set up during the registration process. Enter the desired billing address – you can either use your main contact information or use an alternative address (e.g., if your institution is funding your registration).

Proof of enrollment for students
For registration in student categories, the interested party must submit a supporting document that proves his/her current student status (proof of enrollment or declaration of the educational institution). The document must be added to your online registration form after you select the student fee category.

Once your registration process is completed, you will receive an automatic e-mail confirming that your registration process was successfully completed.

 

Certificate of participation
Certificates of participation are sent via e-mail to all participants.

 

Cancellation and Refund Policies
Request for cancellation of the registration should be made to the secretariat via email at lurdes.catalino@abreu.pt

Please quote your transaction number (ID). Transaction number (ID) will be allocated during the reservation process. 

 

Refund Policy

  • Before July, 01st, 2025 – full fee amount is refundable minus a handling fee of 35,00 €
  • Between July 01 – August 15 – only 50% of the fee amount is refundable minus a handling fee of 35,00 €
  • After August 15 – a refund of registration fees is not available.

Should a participant not attend the congress, for whatever reason, no further claims for reimbursement or waiving of fees can be made. 

 

Transfer Policy
The registration can be replaced by another participant from the same institution, sending your request to lurdes.catalino@abreu.pt until August 15th.

 

Privacy Policy
Any personal data inserted in the registration form will be of sole use to the ICON 2025 Congress.

 

Accompanying Persons
An accompanying person is a spouse, friend, or adult (18 years old and older) who is not working in a science related occupation or field.

Accompanying persons may not attend the oral or poster scientific sessions and have access to social moments (lunch and coffee break), except the social activity/dinner on the boat.

Payment Confirmation: notifications will be sent to your email address, once your payment is processed successfully. No other confirmation will be provided.

 

Liability Waiver
The safety and well-being of our attendees is our top priority. The ICON 2025 organizers are committed to providing a safe environment for the event and will make every reasonable effort to do so. However, as an attendee, you must fully understand and knowingly, voluntarily, and irrevocably assume all risks related to entry into, and presence in, at, and around the event venue(s), which may include an increased risk of exposure to communicable diseases. As an attendee, you accept personal responsibility for your voluntary participation in the event and assume all responsibility for claims and potential claims relating to any risks and hazards of attendance.
